To make sure exhibitors can access LeadCapture or Appointments, you'll need to add their organization to your event and designate an admin. This person will be your partner in crime. While you handle everything on the Cvent side, the Exhibitor Admin will work in LeadCapture, recruiting Booth Staff, distributing the Lead Gatherer licenses that you provide, and exporting the collected leads at the end of the event. The instructions below will show you how to complete your end of the bargain.
 
NOTE: Got a lot of exhibitors that will be attending your event? Consider importing them.  

1 Access the Exhibitor page from Cvent. Begin by selecting your event. Hover over Website & Registration and, under Onsite, click Exhibitor Management.

This will take you to the Exhibitor Management Portal. 

Or, access the Exhibitor page from Onsite Solutions Standalone.
Go to Onsite Solutions and log in to your account. Click the name of your event. Then, from the left-hand navigation, click Exhibitors.

2 Add your exhibitor organization and Exhibitor Admin. Click the + Exhibitor dropdown in the upper right and select Add exhibitor

Enter the organization's name and additional details.

Determine if this exhibitor should be an event sponsor.

In the Exhibitor Statuses section, if you're using Appointments to allow attendees to meet with exhibitors, use the "Hidden" toggle to determine if you want the exhibitor to appear on the Appointments Directory.

Switch the "Featured" toggle to green if you want to highlight this exhibitor as 'featured' in other Cvent products.

Enter the exhibitor's address, contact information, and contact details of the Exhibitor Admin.

Choose how many licenses you'd like to allocate to your exhibitor. There are two kinds:
 
  • App licenses require your booth staff to download the LeadCapture app on their own device in order to scan leads.
  • Device rental and license packages allow exhibitors to use a device that you've rented.

When you've finished, click Save.

3 Customize exhibitor emails, if desired. In Cvent, open your Flex event. Hover over Promotion & Communication and, under Email, click Exhibitor Emails.
 
NOTE: This feature is not available in Classic events or Onsite Solutions Standalone.

Click on the email you want to customize. To change the email's general settings, click Edit. Make any necessary changes in the Basic Information section, then click Save.

To change the content and styling of the email, click Design Email. Continue building out the content of the email. When you're done, click Save.

4 Send exhibitor emails, if desired. Reference this list of exhibitor emails that are sent automatically based on specific actions. Or, 
you can schedule or manually send these emails instead.

5 Ensure admins know what to do next. That's all it takes, but you shouldn't stop there. Make sure all Exhibitor Admins know what they're responsible for and how to accomplish it. To assist you in doing just that, send them these instructions on how to use the Exhibitor Portal and these instructions on how to scan leads.
