In order to log in to your Attendee Website and Event App, all attendees must be added as a registrant for your event. If you're using Attendee Hub without the Registration feature, follow these instructions to add your registrants in bulk or individually to ensure they can access all the features your Attendee Website and Event App have to offer.

Adding Registrants in Bulk

1 Make sure your Attendee Hub is live. Before you can import registrants, your Attendee Website, Event App, or both must be published.

2 Access the Registration Import Wizard. Select your event. From the left-hand navigation, click Attendees, then Attendee List.

Hover over Actions in the top-right, then click Import Registrations.

3 Establish the import settings. Under Import Settings, select your import method and determine if a confirmation email should be sent to the registrants. Then choose whether to match the registrations to existing contacts by email address or source ID, depending on your account's settings.

Each attendee must have an email address associated to their registration in order to log in to Attendee Hub.

4 Download the sample import file. In the File Settings section, click Download a file.

The sample import file will download automatically. Save the file, then locate it on your computer or network. Right click the file, hover over Open With, and select Microsoft Excel.

5 Prepare your data. The first row of the template includes the column headers. Do not delete, edit, or rearrange any of these columns.

When filling out the template, keep these guidelines in mind:
  • First Name, Last Name, Email Address, and Admission Item are required for every row.
  • In the Admission Item column, enter "Event Registration" for each row. Otherwise, you'll receive an error when you import the file.
  • Any registrations imported without a value in the Registration Type column will be assigned as "No Registration Type" by default.
  • To include an attendee's personal schedule, enter "Yes" in the Session column for each session the attendee should be registered for. If you do not want a session to be added to the attendee's agenda, enter "No" in the Session column instead.
  • Up to 500 attendees can be imported at once.

After adding your data, save the spreadsheet as a text file (.txt) or Excel workbook (.xls or .xlsx).
NOTE: Make sure to keep the file in a safe place. You can use it again later to import modifications to the existing registrations in bulk. Otherwise, you can always download a fresh template file and use it to import updates.

6 Import the file. Back in Cvent, click Browse... and locate the file on your computer or network. Decide if you want to be sent an email when your import is complete, then click Next.

Map the columns from the import file to the corresponding Cvent fields and click Next again.

Give your import settings and field mappings a final review, then click Finish. Each row listed beneath the column headers in the file will be imported as a new accepted registrant.



Adding Registrants Individually

1 Access the Attendee List page. Begin by selecting your event. From the left-hand navigation, click Attendees, then Attendee List.

2 Fill out the invitee information. Click Register Attendee in the top-right.

Enter the attendee's First Name, Last Name, and Email Address, then click Register.

NOTE: If the attendee is already a contact in your address book, you'll be prompted to select which contact you want to register: the existing contact or a new contact entirely.

Repeat this step for each additional attendee you want to register for the event.
