Your Speaker emails allow you to invite speakers to the Speaker Resource Center, and keep them informed of any incomplete tasks. Customize what information is displayed in your emails, manage your email settings, and manually send the emails when they're ready to go.
 
NOTE: You can also share virtual session links directly in the Speaker Resource Center

1 Access your speaker email. Begin by selecting your Flex event. Hover over Promotion & Communication and, under Email, click Speaker Emails.

Click the name of the email you want to edit, then click Edit.

Or create a new one. Begin by selecting your Flex event. Hover over Promotion & Communication and, under Email, click Speaker Emails.

Click Create Email
and choose your starting point:
  • A new blank email lets you write and format all the content from scratch.
  • Using an existing email in this event lets you copy another speaker email and alter it. Click the ellipsis (...) in the field that appears and select the template from the pop-up.
 
2 Determine the email's settings.
Customize the name of your email, if necessary. Personalize the Subject Line or From Name by clicking the User-added image next to each field and inserting data tags. Any replies to your message will be sent to the From Email Address. Don't see the one you want in the dropdown? Add more in Admin > Email Settings > Email Addresses.
 
Ensure that Active is switched to Yes.

In the Send Setting section, establish the audience, then determine w
hen you want to send the email, if necessary. Your options include:

 
  • Manually saves the email for whenever you're ready to send.
  • At the following date and time allows you to choose when you want your speakers to receive all necessary information at once. Enter a date and time. Use the dropdowns to specify a time zone. You can also make the email recurring by switching "Repeat this email" to Yes, and establish how often it will repeat and when it will end.

Click Save if customizing an email, or Finish if creating a new one.
 

3 Write your email and preview it. Customize your email.

 
NOTE: Data Tags specific to speaker emails can be found under the Speaker category.

Click Preview to preview your work. Once your done, click Save. Close out of the Email Designer.
 

4 Manually send your email from the email itself. If you've already selected your email's name, hover over Send, and click Manually. Search for your speaker, and check the box to the left of their name. Click Send Email, then Confirm.
 
Or manually send your email from the email list. If you have returned to the Speaker Email list, hover over the User-added image icon to the right of the email, and click Manual Send. Search for your speaker, and check the box to the left of their name. Click Send Email, then Confirm.
