Scheduling Snapshots of Your Reports

Want to see how your data changes over time without having to run your Event, Business Intelligence, or Supplier reports every single day, week, or month? Follow the steps below to create scheduled snapshots that will show you your performance at a particular point in time.

1 Run your Event report. Begin by selecting your event. Hover over Reporting and, under Reports, click Reports.

Click Run next to the report you want to schedule.

Or access your Business Intelligence or Supplier reports. Begin by clicking Business Intelligence or Reports in the navigation bar. Click Run next to the report you want to schedule.
 
NOTE: Don't have access to your reports? Ask your administrator to assign you a user role that gives you full access to Business Intelligence, Supplier, or Event Reports.

2 Customize your report. Ensure all of the necessary data is available by filtering your Event, Business Intelligence, or Supplier report.

3 Schedule report snapshots. Hover over ...Actions in the top right and click Save As.

Enter a name for your saved report and a description, if desired. In the Summary section, click the User-added image icon.

Additional scheduling options will appear.

From the Repeats dropdown, select how often you want the report to run (once, daily, weekly, or monthly). Choose whether you want to run the report on weekends.

Use the calendar icon to set the date when the schedule should start.

From the End dropdown choose whether you want the schedule to end:
  • Never: Runs forever until you manually remove it.
  • After: Ends after a set number of occurrences.
  • On: Ends on a specific date.
Enter the time that you want the report to start running. Then select a time zone from the dropdown.

Choose whether you want to receive email notifications whenever a snapshot is generated and ready to view. Click Apply changes. The email will include a a direct link to the report snapshot.

Click Save when you're done. A copy of the report will become available in the Saved Reports tab.
 
NOTE: You cannot set more than three recurring schedules per Report List page across your reports. To delete a schedule, go to the Saved Reports tab, click the arrow next to Run to the right of the report, then click Delete Schedule.
 
3 View the report snapshots. Click the Snapshots tab, then click View to display the latest snapshot of the report.

Click Show previous snapshots to display a list of the previous occurrences. Each occurrence will show the date and time when it was run. Then click View next to the snapshot you want to access.
 
NOTE: Snapshots expire after seven days.
