Want your event to be as exclusive as possible? With registration approval enabled, no one is registered without your say-so.
 
NOTE: Pending and denied registrations will count towards your contract total.

Turning On Registration Approval

1 Access the Event Configuration page. Begin by selecting your Flex event. Hover over Event Details and, under General, click Event Configuration.


 
NOTE: These instructions are for the Classic Experience. For the New Experience, reference this article instead.

2 Enable registration approval. Click Edit. Scroll down to Website & Registration and, under Registration Process, ensure Registration Approval is checked.

Click Save.

3 Adjust the options for each registration path. Hover over Website & Registration and, under Registration, click Registration Process. If you have multiple registration paths, select one. Click Open Site Designer.

Click on the Registration Page dropdown in the top-left,
then, under the Registration Paths section, click the User-added image next to the registration path.

Scroll down to the Basic Settings section, and toggle "Approve registrations manually" to green.

Click Apply, then click Save to preserve a draft, or Publish to make these changes available to invitees.

Repeat these steps for each registration path, if necessary.


 
NOTE: When Registration Approval is enabled in an event with fees, registrants will see a pending charge on their credit card for the total amount due until you approve their registration. Once approved, their credit card will then be charged.

Editing the Registration Pending Page

1 Access the Registration Pending page. Keep your invitees aware of where they are in the review process by adding text to the Registration Pending page.

Hover over Website & Registration and, under Registration, select Registration Process. If you have multiple registration paths, select one from the dropdown.

In the Other section, to the right of the Registration Pending Page, click Customize.

2 Add custom content. Add and customize widgets, text, and images using the Site Designer.

Click Save to preserve a draft, or Publish to make these changes available to invitees.


Editing the Registration Denied Page

1 Access the Approval Denied page. Even after being rejected, some people just don't get the hint. The Registration Denied page greets any invitee that attempt to log in after being turned down.

Begin by selecting your event. Hover over Website & Registration and, under Registration, select Registration Process. If you have multiple registration paths, select one from the dropdown.

Under the Other section, to the right of the Registration Denied page, click Customize.

2 Add custom content. Add and customize widgets, text, and images using the Site Designer.

Click Save to preserve a draft, or Publish to make these changes available to invitees.



Editing Related Email Templates

1 Access an email. Enabling registration approval adds two supplementary email templates: one that notifies invitees their registration is pending and another that alerts them when they've been denied. If you're planning on or already have customized the other templates, chances are you'll want to customize these as well.

 
NOTE: Those who are approved receive the Registration Confirmation email.

Hover over Promotion & Communication and, under Email, click Event Emails. If you have multiple invitation lists, select one from the dropdown. Under Post-Registration Emails, select "Approval Pending Notification," or scroll to the Declined Registration Emails section, and select "Approval Denied Notification."

2 Add custom content. The Details tab opens by default. Click Design Email.

Make any necessary changes using the Email Designer. Click Save when you're finished.

If your event has multiple invitation lists, you will need to repeat this process for each one.


Enabling Approval Through Email

1 Access the Planners Alerts Page. Do the people actually making these decisions not have access to Cvent? Allow them to approve or deny registrations from their inbox.


Hover over Promotion & Communication and, under Alerts, select Planner Alerts.

2 Create an alert. Click Create Alert. Select "Registration"
from the Category dropdown, and "Pending Registration Submitted" from the Type dropdown, then click Next.

In the Pending Registration Settings section, ensure "Without logging in to Cvent" is selected.

A new section will appear. What's typed in the Instructions box will appear at the top of the Approval page. Determine if comments are required. The Error Message appears when someone attempts to approve or deny the same registration twice.

Finish creating the Pending Registration Submitted alert.
