Once you've set up the Standard Feedback, Flex Feedback, or OnArrival Feedback (Beta), surveys you'll want to make sure all attendees know how to reach the it. Fortunately, there's a pre-built email template to do just that.
 
NOTE: These instructions are for the Classic Experience. For the New Experience, reference this article instead.

Access the Post Event Feedback email in Classic.
Begin by selecting your Classic event. Hover over Promotion & Communication and, under Email, select Event Emails.


If your event has multiple invitation lists, select one from the dropdown at the top.

Scroll down to the Post-Event Email section and click the email's name.

 
NOTE: If you'd like feedback from your registrants' guests as well, there's another template intended for that. To modify it, click Guest Post Event Feedback.  

Or, access the Event Feedback email in Flex. Begin by selecting your Flex event. Hover over Promotion & Communication and, under Email, select Event Emails.

If your event has multiple invitation lists, select one from the dropdown at the top.

Scroll down to the Post-Event Email section and click Event Feedback.


2 Adjust the email settings. Click Edit. Activate the email by clicking Yes next to "Active."

If necessary, edit the Name, Subject, and From Name fields.

3 Schedule the email. Want to "set and forget" the email? In the Send Settings section, switch "Send this email" to At the following data and time.

Enter a date, time, and time zone. Unless you're allowing feedback to be collected before the event is over, ensure the date and time is after the event end date (listed in Event Details > General > Event Information) has passed or the email will not send. 

Scheduling your emails at least an hour in advance is recommended. Also keep in mind that delivery can be impacted by how many messages you and other users are sending.

NOTE: You can create a reminder email in Classic or Flex to go after this one. Just select the option "Using an existing email in this event" and the audience type "Registrants who did not respond to the feedback survey." Make sure you're sending it on a later date than this one.

4 Set up a reminder email in Flex. Switch "Automatically send reminders" to Yes. Determine how often the email will be sent, and the date and time of the last email. Once you're done, click Save.
 
Or set up a reminder email in Classic.
If you haven't already, click Save to preserve the edits in your Event Feedback email.

A reminder email can be set up to send after the Event Feedback email. To set one up, create a custom Classic email, and select the option, "Using an existing email in this event," and the audience type, "Registrants who did not respond to the feedback survey." Make sure you're sending it on a later date than the Event Feedback email.


5 Edit the template in Classic, if necessary. Click the neighboring tab, Content, then click Edit.

Feel free to make any changes to the content, but
make sure the survey link data tag ({[E-FEEDBACK LINK]} or {[E-SURVEY-LINK]}) remains. The {[E-FEEDBACK LINK]} should be used if you are sending the Standard Feedback survey, and the {[E-SURVEY-LINK]} data tag should be used if you are sending the Event Feedback (New) survey. The data tags give recipients a direct link to your feedback survey.

Once you're done, click Save.

Or, edit the template in Flex. Click Design Email to open the Email Designer. Ensure that the {[E-SURVEY-LINK]} data tag is inserted into the content.

If it's not, add the data tag. Click on a text widget to open the styling options. Then, to the right within the Text box, click on User-added image to open the list of data tags.

Type "Survey" in the search box, then click Survey Hub Link to insert the data tag. The data tag gives recipients a direct link to your feedback survey.

Once you're done making changes, click Save.

6 View your registrant's responses in Classic. If you're using the Standard Feedback survey, check individual registrants' responses by going to Invitee Management > Invitees & Registrants > Answers and choosing Feedback Survey from the dropdown. You can also view answers in bulk by going to Reporting > Reports > Reports, selecting Event Feedback from the Category dropdown, and viewing the following reports:
  • Answer Details by Registrant
  • Answer Details by Survey
  • Event Survey - Answer Details
  • Event Survey - Answer Summary

Using the the Event Feedback (New) survey? Find all the reports you need in Website & Registration > Feedback Survey > Reporting.

Or, view your registrants' responses in Flex. If you're using the Flex Feedback survey, you can view answers in bulk by going to Reporting > Reports > Reports and selecting any report under the Event Feedback category.

 
NOTE: Find out who received, opened, or never got your email by running this report.
