Will there be a ton of exhibitors gathering leads at your event? Don't add each one individually. As long as you're using a desktop computer (as opposed to your mobile device), you can import up to 5,000 exhibitors at the same time by following the steps below.

1 Access the Exhibitor Management Portal. If you're an Event Management user, select your event, hover over Website & Registration and, under Onsite, click Exhibitor Management.

If you're using standalone OnArrivalgo to Onsite Solutions and log in to your account. Click the name of your event, then click Exhibitors from the options that appear on the left. 


2 Download the Template. Click the + Exhibitor dropdown in the top-right, then select Import exhibitors list

In the "Important Information about imports" box at the top, click Download a sample file and save the sample. Locate it on your computer or network. Then open the file in Microsoft Office Excel.

Do not delete anything in the first row. These are the column headers. Follow the examples in the sample spreadsheet to add information on each exhibitor. Keep the following tips in mind:

 
  • Only Exhibitor Name, Admin First Name, Admin Last Name, and Admin Email are required. 
  • Exhibitor Admins are in charge of the exhibitor account. There's only room to add one admin per row.
  • Each exhibitor name must be unique. 
NOTE: Using Universal LeadCapture? To add an exhibitor's Onsite Staff, enter the registration email address or confirmation number for each staff member into a single row for the exhibitor, including "^^" between each record.

When you've finished, save the file to your computer. Click Browse and select your completed template. In the Insert Option section, choose whether you want to import new exhibitors only, or import new exhibitors and update existing ones. Determine whether to send the welcome email and confirm you have permission by checking the boxes at the bottom, then click Next.

3 Map your fields. If you used the sample spreadsheet as a template, the headers should already be mapped to the right fields, but give this page a once-over to make sure. Then, click Start Import to finish the job.

4 Review imported sessions. Once the import is complete, check the status.
 
  • Event Management users: Click the Imports tab.
  • Standalone OnArrival users: Click Event Imports on the left, then select the History tab.

Click Summary beside the file you uploaded. Here, you can determine the number of records that were imported or skipped (i.e. failed to import). If any records were skipped, click Download Skipped Records, open the spreadsheet, and check the Reason column to find out why.

5 Add more licenses, if necessary. If you didn't assign licenses during the import, you can add them now. 
 
  • Event Management users: Click the Exhibitors tab. 
  • Standalone OnArrival users: Click Exhibitors on the left.

Click the name of the exhibitor you'd like to assign licenses to.

Click the Licensing tab, then click Add Licenses. There are two kinds of licenses:
 
  • App licenses require booth staff to download the LeadCapture app on their own device in order to scan leads.
  • Device rental and licenses package allows exhibitors to use a device that you've rented.

Choose how many of each license you'd like to give to your exhibitor, then click Allocate Licenses.

6 Ensure Admins know what to do next. That's all it takes, but you shouldn't stop there. Make sure all Exhibitor Admins know what they're responsible for and how to accomplish it. To assist you in doing just that, send them these instructions on how to use the Exhibitor Portal and these instructions on how to scan leads.
