Want your event to be as exclusive as possible? With registration approval enabled, no one is registered without your say-so. If you're creating a Flex event, reference this article instead.
 
NOTE: Pending and denied registrations will count towards your contract total.

 Turning On Registration Approval 

1 Access the Event Configuration page. Begin by selecting your Classic event. Hover over Event Details and, under General, click Event Configuration.

2 Enable registration approval. Click Edit. Scroll down to Website & Registration and, under Registration Process, ensure Registration Approval is checked.

Click Save.

3 Adjust the options for each registration path. Hover over Website & Registration and, under Registration, click Registration Settings. If you have multiple registration paths, select one. Click Edit.

Scroll down to the Basic Features section. Make sure Registration Approval is enabled.

Click Save. If your event has multiple paths, you will need to repeat this process for each one.

 
NOTE: When Registration Approval is enabled in an event with fees, registrants will see a pending charge on their credit card for the total amount due until you approve their registration. Once approved, their credit card will then be charged.

Editing the Confirmation Page

1 Access the Confirmation page. Keep your invitees aware of where they are in the review process by adding text to the Confirmation page.

Begin by selecting your event. Hover over Website & Registration and, under Registration, select Registration Pages. If you have multiple registration paths, select one from the dropdown.

In the Post-Registration section, click Confirmation.

2 Add custom content. Switch "Display different instructions for pending registrants" to Yes. Then enter the instructions you want shown in the textbox.

Add additional content by clicking Edit Section. To remove the header entirely, switch "Display section header" to No. Add content in the HTML Editor. Once you're done, click OK.

Don't forget to Save.

Editing the Registration Denied Page

1 Access the Approval Denied page. Even after being rejected, some people just don't get the hint. The Approval Denied page greets any invitee that attempt to log in after being turned down.

Begin by selecting your event. Hover over Website & Registration and, under Registration, select Registration Pages. If you have multiple registration paths, select one from the dropdown.

Under the Post-Registration section, select Registration Denied.

2 Add custom content. Add content by clicking Edit Section. To remove the header entirely, switch "Display section header" to No. Add content in the HTML Editor. Once you're done, click OK.

Don't forget to Save.


Editing Related Email Templates

1 Access an email. Enabling registration approval adds two supplementary email templates: one that notifies invitees their registration is pending and another that alerts them when they've been denied. If you're planning on or already have customized the other templates, chances are you'll want to customize these as well.

 
NOTE: Those who are approved receive the Registration Confirmation email.

Hover over Promotion & Communication and, under Email, click Event Emails. If you have multiple invitation lists, select one from the dropdown. Under Post-Registration Emails, select "Approval Pending Notification," or scroll to Declined Registration Emails and select "Approval Denied Notification."

2 Add custom content. The Details tab opens by default. Click the neighboring tab, Content, then Edit.

Make any necessary changes, then scroll to the plain text email and click Copy from HTML Email.  Click Save when you're finished.

If your event has multiple invitation lists, you will need to repeat this process for each one.


Enabling Approval Through Email

1 Access the Planners Alerts Page. Do the people actually making these decisions not have access to Cvent? Allow them to approve or deny registrations from their inbox.


Hover over Promotion & Communication and, under Alerts, select Planner Alerts.

2 Create an alert. Click Create Alert. Select Registration from the category dropdown and Pending Registration Submitted from the Type dropdown, then click Next.


In the Pending Registration Settings section, ensure "Without logging in to Cvent" is selected.

A new section will appear. What's typed in the Instructions box will appear at the top of the Approval page. Determine if comments are required. The Error Message appears when someone attempts to approve or deny the same registration twice.

Finish creating the Pending Registration Submitted alert.
