Hounded by a metrics-obsessed boss? Spammed with pleas from investors for the latest revenue numbers? Nagged incessantly to send headcounts to the caterer? Parked reports to the rescue! Once created, even those without a Cvent login can access data through a password-protected URL whenever they fancy, and, best of all, without needing to pester you.

1 Create and save a report. Begin by building your legacy, custom legacy, cross event legacy, or custom cross event legacy report. Be sure to set the End Date (marked below) far into the future so data updates every time the parked report is accessed.

Run the legacy report, then click Save Report. Give it a name and Save again.

2 Create a parked report group. Your parked reports will be accessed from a webpage generated when you create a parked report group.

To do so, click Admin in the top right. Hover over Reports and, under Manage, click Parked Report Groups. Click Add in the middle of the page.

Name the group for your reference. Consider entering the date your parked reports page will expire in the Auto Close Date field. No one will be able to access these reports once this date passes.

Click Save.

3 Add reports to the group. Click Edit, then Add Report. When the pop-up appears, click Select to the left of the reports you want to include.


If your report list is long and cumbersome, filter it by entering criteria in the Report, Source, or Report Type fields and clicking Search.
 
Once you're done, click Save. Each report now appears as a link on the parked reports page.

4 Customize the display options. To upload a header image and add content to the parked reports pages, click the neighboring tab, Display Options.

Locate the header image in your Media Library by clicking the ellipsis (...). Select your image, then click Insert.

 
NOTE: To add a file to your library from here, open a folder and click Add File (circled below).

Use the radio buttons to align the header left, center, or right.
 
Add instructions, a title, or additional information to the page by typing in the text boxes. Click <HTML> to access the HTML Editor.

 
NOTE: Text you enter in the Instructional Text  box appears on the login page.

Click Save. If you used the HTML Editor, be sure to save on the original page as well.

5 Schedule an email update with a link to the reports page. Click the neighboring tab, Email Settings. Here you can create an email with a link to the parked reports page and schedule it to remind recipients to check in for the latest data.

Use the dropdown to select a From Email Address and enter a From Name in the appropriate box.

Select the date, time, and frequency of when the email will go out. For example, to send it every day, select the fifth radio button option, enter "1" in the field, select a time, and choose the date these daily emails should begin.

Include a subject line and consider adding a message in the appropriate textboxes. If you are requiring a password, include that information here as well. Click <HTML> to stylize the text or add images.  

Click Save.

6 Restrict access to parked reports. You can protect your reports page with a password and restrict access to specific email addresses or users by selecting the rightmost tab, Security Settings. Click Edit.

To limit access to specific email addresses, select the first radio button option. Create a password and list the email addresses, one per line, in the appropriate textbox. Remember to include the password in the email message created in the Email Settings tab.

If you've created any Report Users, select Only allow access for selected users and user groups. Then, choose Report Users from the dropdown and click the ellipsis (...) in the User or User Group text box when it appears. Click Select to the left of an existing user's name in the pop-up. Use the remaining dropdowns to add more users. Click New Line to add more dropdowns.

NOTE: If you have the rights to add users, use Quick Add User to create a user without leaving the Reports tab. 
 
Further limit access by specifying which IP addresses (codes that identify a computer network) can log in to the parked reports page. Select "Yes, also restrict by the specified IP addresses" and list the IP addresses, separated by commas, in the following format: 123.4.5.6.

In the last textbox, you can edit the text that appears when people have been denied access to the parked reports.

Click Save.
